Custom Report Module

The Custom Report Module gives you the ability to export raw data from RezBook to Excel for massaging and custom report generation.

Open it from RezBook under TOOLS – CUSTOM REPORT MODULE

 

There are 4 grids that can be displayed at the top: GUEST, RESERVATION, BOOKING TYPE and SEASONS/RATES.
Click on the tab at the top to see your data after you enter your search criteria on the left side.

GUEST REPORTS

If you would like to export all your guests that have emails….

Go to the GUEST section on the left side and enter NOT NULL in the email field and then click FILTER. This will bring up all the guests that have an email address entered in Rezbook. Then click EXPORT. That will export all that data into Excel where you can massage it and then use the eMailMerge tools standard with Microsoft Office.

 

If you want all the guests that have NO EMAIL address entered into RezBook, enter NULL into the email field and click FILTER.

To clear your search criteria, click the CLEAR button.

GUEST CUSTOM REPORTS

If you want to see all the guests from a certain state or territory, enter that into the STATE field, then click FILTER. Then click EXPORT

The first grid shows Guest Details.  To see actual RESERVATIONS that are associated with a state, click on the Reservation tab at the top.  All grids are exported to Excel into separate Worksheets with 1 click of the button.

BOOKING TYPE REPORTS

Lets say you wanted to get a list of all your GROUPS with contact details. Go to Booking Type on the left, select GROUP from the drop down box and click FILTER. Click BOOKING TYPE on the top and you will get a list of all your GROUPS plus their details. On the GUEST grid, you will get all Guests associated with ANY Group. In the RESERVATION grid, you will get all Reservation details for bookings associated with ANY GROUP.

If you want to search for all GROUPS that have EMAILS entered…. Select GROUP and then enter NOT NULL in the email field.  Then click FILTER.

RESERVATIONS REPORT

Lets say you want to look at all guests that are checked out with a balance. Scroll to the RESERVATIONS section on the left, look for the field: STATUS, select Checked out with a Balance and click FILTER.

If you want the guest details for these bookings. Click the GUEST tab at the top:

RESERVATIONS REPORTS

If you want to see all bookings associated with a certain Market Segment, select that Market Segment and click FILTER.

Click on the Reservation tab at the top to see the booking information, click the Guest tab at the top to see the Guest information. Make sure to click CLEAR before each search so that you clear the previous Filters you have chosen.

Click EXPORT to send all the data to EXCEL where you can play with the records, sort and edit as you wish.

SEASON/RATES

The season/rate grid is very simple. It is not based on a filter or different search criteria. It is simply a listing of all your Seasonal Rates. You can export this to Excel and sort based on room number or date. It will also help you clean up your rates and seasons.

If you create a query or a set of filters that you want to use over and over, click SAVE. This will save the parameters in a file. Then when you want to use that same search criteria over again, click LOAD, select that query and click FILTER to bring up the data.

This Custom Report Module is extremely powerful. It will give you the opportunity to really see what data you have in RezBook so that you can clean up old messes or start email marketing campaigns or chase old debtors.
